Please read the terms and conditions of booking a tour or transportation with ROAM Wild Travel Co. before completing your booking. It is your responsibility to fully understand the terms and conditions for your tour. By registering and paying your deposit for a ROAM Wild Travel Co. tour, you agree to the terms and conditions set forth below.

1. Payment Terms & Cancellations

(a) Reservations

To reserve your place on a ROAM Wild Travel Co. trip, please complete the registration form online and submit it together with payment or deposit, as set forth below under Section 2.

(b) Your Obligations

(i) Payment

      • Pricing for ROAM Wild Travel Co. trips is listed on individual itinerary web pages at www.roamwildtravel.com. Airfare, gratuities, travel insurance, and alcohol are not included.
      • Bespoke or custom itinerary prices, along with details of all inclusions, will be provided to the guest as a quote prior to booking and payment.
      • Payment may be made securely online by credit card, directly through invoices or on www.roamwildtravel.com.

(ii) Personal Information

      • In order to confirm your travel arrangements, you must provide all necessary information as requested, possibly including your full name as listed on your passport, passport number, country of origin, address, and telephone number.

(iii) Health and Fitness 

      • You promise that you are in good physical and mental health. Be advised that some of our tours take place in remote areas where there is little or no access to modern medical services or hospital facilities for serious health issues. You are further advised that any medical or evacuation expenses will be your sole responsibility.

(iv) Passport, Visa and Related Items

      • You are responsible for obtaining and maintaining a valid passport and any appropriate visas. For up-to-date visa requirements, please contact your local embassy or consulate. ROAM Wild Travel Co. is not responsible if you are denied entry or exit to/from any country due to a lack of required travel documentation.

(v) Travel Insurance

      • We recommend that you obtain a fully comprehensive travel insurance policy for your trip. You are solely responsible for ensuring that you are adequately insured for the full duration of your travel, and are solely responsible for any loss related to your failure to procure adequate travel insurance.

(c) Our Obligations

Upon confirmation of your booking, we will reserve all transportation and activities included in the package on your behalf. ROAM Wild Travel Co. expressly reserves the right to modify the itinerary due to availability of third party vendors, weather conditions, safety concerns, or other circumstances out of our control.

(i) Tour Inclusions

Your trip includes all activities as set out on each individual trip page on www.roamwildtravel.com, or in each individual quote/itinerary.

(ii) Tour Exclusions

Your trip does not include: international airfare, airline baggage charges, passport, visa, and other related fees, travel insurance, alcoholic beverages, gratuities, optional activities not listed on your itinerary, any other personal expenses incurred as a result of travel.

(d) Changes, Cancellation or Delay

We reserve the right to make changes to any aspect of the retreat if ROAM Wild Travel Co. deems it necessary to do so, due to safety or other concerns. Should your itinerary require modifications, we will do our best to provide advance written notice. However, we reserve the right to modify this itinerary without any prior notice due to local circumstances or events out of our control.

(e) Effect of Changes, Cancellation or Delay

In the event of any change, cancellation, or delay under subsection fiii, you acknowledge that you will have no right of refund of the tour prices (in whole or in part) and no right to claim compensation for any injury, loss, damage, or other expenses incurred by virtue of the change, or delay, except as provided in Section 4.

(f) Cancellations

(i) By ROAM Wild Travel Co.

ROAM Wild Travel Co. reserves the right to cancel tours prior to departure in the event that insufficient guests are confirmed, in which case, you will be entitled to a full refund of all amounts remitted to ROAM Wild Travel Co.. In no event will we be responsible for any other amount, including preparation costs, travel documents, or any other losses or claimed damages.

(ii) By You

All cancellations by you must be made in writing and sent to us via email (info@roamwildtravel.com). Deposits are non-refundable. If cancellation takes place earlier than 60 days (2 months) prior to trip departure date, any additional payments made will be refunded, minus an administrative fee of 30 percent (30%). For cancellations made 60 days (8 weeks) or less prior to trip departure, 100 percent (100%) of the amount remitted to ROAM Wild Travel Co. will be forfeited.

(iii) Force Majeure

If ROAM Wild Travel Co. is prevented (directly or indirectly) from performing any of its obligations under this agreement by reason of act of God, strike, trade dispute, fire, breakdown, interruption of transport, government or political action, acts of war or terrorism, acts or omissions of a third party, or for any other cause whatsoever outside of ROAM Wild Travel Co.'s reasonable control, we will be under no liability whatsoever to you and may, at our option, by written notice to you either cancel the tour or take any other action as specified in Section f.

2. Assumption of Risk

While ROAM Wild Travel Co. is dedicated to ensuring the safety of all guests, all individuals participating in its tours must assume the risk inherent in travel, exercise and extreme activities. Our tours often take place in locations that are remote where there is little or no access to traditional medical services or hospital facilities for serious health issues. You may be visiting places where the political, cultural, and geographical attributes of the location present risks and physical challenges that are greater than those present in your country of residence. We use information from government foreign departments and reports from our contacts in assessing whether our tours should be scheduled and/or continued. Nevertheless, it is your own responsibility to familiarize yourself with all possible relevant travel information related to your itinerary. You acknowledge that your decision to travel is made in consideration of this information and that you assume the risks involved with such travel.

3. Physical Training Release of Liability

Express assumption of risk: I, the undersigned, am aware that there are significant risks involved in physical training, including but not limited to, the physical training inherent to all exercise and extreme activities, and that my participation in any such physical training program carries with it the potential for death, injury, and/or property damage. The risks include, but are not limited to, falls which can result in serious injury or death; injury or death due to negligence on the part of myself, my training partner, or other people around me; injury or death due to improper use or failure of equipment; strains and sprains; those risks caused by terrain, facilities, temperature, weather, condition of athletes, equipment, vehicular traffic, actions of other people including, but not limited to, participants, volunteers, spectators, coaches, and trainers and lack of hydration. These risks are not only inherent to physical training and athletics, but are also present for volunteers and spectators. I am aware that any of these above mentioned risks may result in serious injury or death to myself and or my partner(s). I willingly assume full responsibility for the risks that I am exposing myself to and accept full responsibility for any injury or death that may result from participating, volunteering or watching in any physical training, guided exercise, or extreme activity. I realize that liability may arise from negligence or carelessness by the persons or entities being released, from dangerous or defective equipment or property owned, maintained or controlled by them or because of their possible liability without fault. I acknowledge that I have no physical impairments, injuries, or illnesses that will endanger me or others.

I acknowledge that I am willingly participating in these activities and that I have assumed all risks as described above. In consideration for my being allowed to participate in the activities offered, I, the undersigned hereby release ROAM Wild Travel Co., their principals, agents, employees, and volunteers from any and all liability, claims, demands, actions or rights of action, which are related to, arise out of, or are in any way connected with my participation in this activity, including those allegedly attributed to the negligent acts or omissions of the above mentioned parties. This agreement shall be binding upon me, my successors, representatives, heirs, executors, assigns, or transferees. If any portion of this agreement is held invalid, I agree that the remainder of the agreement shall remain in full legal force and effect. If I am signing on behalf of a minor child, I also give full permission for any person connected with the hosting organization to administer first aid deemed necessary, and in case of serious illness or injury, I give permission to call for medical and or surgical care for the child and to transport the child to a medical facility deemed necessary for the wellbeing of the child.

Indemnification: The participant recognizes that there is risk involved in the types of activities offered. Therefore the participant accepts financial responsibility for any injury that the participant may cause either to him/herself or to any other participant due to his/her negligence. Should the above mentioned parties, or anyone acting on their behalf, be required to incur attorney’s fees and costs to enforce this agreement, I agree to reimburse them for such fees and costs. I further agree to indemnify and hold harmless ROAM Wild Travel Co. and the hosting organization, their principals, agents, employees, and volunteers from liability for the injury or death of any person(s) and damage to property that may result from my negligent or intentional act or omission while participating in activities offered. This includes but is not limited to parks, recreational areas, playgrounds, areas adjacent to main building, and/or any area selected for training.

4. Food Allergies and Allergies Release of Liability

An allergen-free environment, including but not limited to food allergens, cannot be guaranteed on ROAM Wild Travel Co. tours. Therefore, the released parties cannot guarantee that any particular food product is free of all traces of any particular allergen, that consumption of a food product will not result in some form of allergic reaction, or that the participant will not come into contact with any allergens while on their trips. The undersigned acknowledges and agrees that he/she is aware of such risks and that participation in the event will expose the participant to food, activities and persons that may result in exposure to allergens and injury and, in that regard and assuming such risks, the undersigned hereby fully releases and discharges the Released Parties from any and all liability and/or responsibility to the participant, the undersigned, or any third party for death and/or injuries to the participant, and/or any direct, indirect, punitive, incidental, or any damages that arise out of or relate to participant’s participation in ROAM Wild Travel Co. tours and/or exposure to food allergens.

5. General Release and Waiver of Liability

In consideration of ROAM Wild Travel Co.'s acceptance of your reservation, you agree, to the maximum extent permitted by law, to release, waive, discharge, hold harmless, and indemnify ROAM Wild Travel Co. and its officers, employees, agents, independent contractors, licensees, guides, and other representatives (the “Indemnified Parties”) from any and all claims, damages, lost profits, lost earnings, consequential, exemplary, direct, indirect, or punitive damages or otherwise which may arise out of or occur during your travel and/or stay in connection with the trip, the tour, or any activities conducted in conjunction therewith, unless caused by the gross negligence or willful misconduct of the Indemnified Parties; and regardless of the situation or circumstances giving rise to the claim, you hereby permanently waive any claims you have or may at any time have, against the Indemnified Parties. You further agree, by accepting the additional inherent dangers and risks associated with travel and the tour, not to make any claim against or seek any compensation from the Indemnified Parties with regard to any personal injury, illness, or death suffered by you or damage to or loss of property sustained by you as a result of your participation in the trip or the tour. You have been advised and urged to obtain travel insurance to cover against loss resulting from trip cancellation or interruption, weather, natural disaster, strike, illness, job reasons, accident, sickness, evacuation, pre-existing medical conditions, baggage delay, loss, theft, and other losses associated with travel. You acknowledge that whether or not you elect to purchase or not purchase travel insurance, you will not look to any of the Indemnified Parties for reimbursement for any loss suffered or occurring during your travel and/or stay.

6. Governing Law

These Terms and Conditions shall be governed by and construed in accordance with the laws of the Province of Alberta.
